Operations

With distributed offshore operations located worldwide, there comes a challenge in keeping an up-to-date overview of the entire fleet from all your onshore offices located around the world. The Insite Operations area addresses this problem and conveys data from the remote sites to onshore locations multiple times every hour. Additionally, as the system is web-based, all users who are working from home or who are out travelling can also easily access this data.

This provides an at-a-glance view for all your remote sites. When logging into Insite, the below chart shows a typical graphical colour-coded display depicting the events of yesterday (in the case showing a 4-site fleet). Like most of the charts within the system, these are drillable and can be clicked to reveal the individual detailed events that make up the chart.

Activity Monitoring

Each 24 hours show the primary commercial activity for the vessel. This tracks production, standby, downtime and mobilisation/demobilisation. The activity lists are customisable and will be implemented quickly during installation of the system. The system will also record revenue for all events so that invoicing is built-in with the system. Activity level monitoring is mandatory. The system also tracks a diary-style report from the OIM/Party Manager, head-counts, fuel usage details, weather conditions and details of any upcoming port calls and crew changes. This information is vital to the onshore support departments so they are able to coordinate any necessary actions and shipments to/from the remote sites without a need to check with each offshore site manager.

Sub-Activity & Fault Analysis (optional)

If you want to go deeper with analysis for any activity area giving you cause for concern then it is possible to simply enable sub-activity for any such activities and the system then demands the onboard users give further detail. If you wish to go deeper still then enable fault logging and a complete picture of problem areas can be given.

We never run end-user training courses on the system as they are simply not necessary as the system is so intuitive.

Actions and Accountability

Transparency and accountability within Insite HSEQ ensure that actions are clearly assigned and that everyone is aware of their responsibilities. The system is designed to ensure that all those involved in individual actions are made aware of their responsibilities and that actions are closed before target dates wherever possible.

Analytical tools show everyone where bottlenecks occur from a location, department and employee perspective. In addition to the actions being addressed in a timely manner, Insite also has an action-rating feature where the creator has a simple mechanism for anonymously rating the effectiveness of the action closure. Experience shows that this leads to improved quality and outcomes all round with the average rating rising to a level between 'very good' and 'excellent'. Due to the open nature of the system, our clients typically also run all meetings and actions through Insite (no more agendas and actions locked away in individual mail boxes or shared folders). A report in one location often triggers actions for departments and individuals in multiple other locations and Insite handles all this seamlessly with these actions being addressed simultaneously.

Risk Management

Within the offshore industry there are more risk factors than almost all other industries. Managing risks is necessary to operate and is unavoidable. However, safely managing these risks is essential and a drive to constantly reduce the potential involved is a necessity. Insite has several areas that help achieve this objective. Risk Assessments, Job Safety Analysis (JSAs or TRAs), Management of Change (MoC), Permit To Work (PTW) and Lock-out-Tag-out (LOTO) are all built into the Insite risk management module.

All inputs in the system that require a risk rating feature an industry standard risk matrix for both reference and data entry. This matrix allows simple and intuitive selection of risk ratings which can greatly aid understanding of an area that some users find confusing. Of particular note is the ability of the risk matrix to be customised to match the specifics of a particular management system.

Permits to Work

Insite's powerful Permit to Work (PTW) system allows embedded electronic checklists to be completed, and signed, electronically. Safety mechanisms are built in to ensure that all signatories are in the same place, discussing the permit, at the time that it is signed. Tasks conducted under a permit are linked back to the checklist that was filled out. This means that rather than being locked away in a paper document the checklist answers can easily be retrieved and viewed by anyone who needs to have access.

Another significant advantage over a paper-based PTW system is that additional guidance is given on screen based on the answers that have been selected. Some answers will not be allowed at all, while others can inform the user that additional mitigating measures should be considered if the permit is signed with that answer selected. Additionally, as checklists evolve and new items introduced and old ones retired, the system is updated instantly and there is no necessity to distribute fresh paper checklists.

Risk Assessments

Collaborative Risk Assessments are easily managed within the Risk Management module. Templates can be configured for each type of risk assessment, providing the default risk areas that should be considered. These pre-defined risk areas can be removed when not applicable, and new ones added just as easily. A PDF export option makes sharing with clients simple, and the system automatically updates the version number which means it is always clear when a hard copy was generated.

Job Safety Analysis / Task Risk Assessments

Having a predefined documented approach to all tasks where risk is involved allows the evolution of best and safest practice. Essentially, a list of instructions provide employees with the necessary guidance to safely complete given jobs or tasks offshore. These instructions are known commonly as Job Safety Analysis (JSA) or Task Risk Assessment (TRA) instructions.

Insite's powerful workflows for the generation and review of Task Risk Assessments (TRAs/JSAs) greatly simplify the process of gaining input and agreement from all relevant parties for new or updated assessments. Automatic review notifications ensure that TRAs are reviewed regularly and are always kept up-to-date and PDF export allows them to be included in company management systems independently of Insite if required. Employees can initiate changes to these instructions as and when necessary with the standard subsequent approval workflow being required.

Management of Change

There are often times when, for whatever reason, there is a requirement to operate outside of the predefined and accepted safest practices. Occasional real world limitations, unfortunately, make this a reality. This is where we are required to violate a small part of a TRA/JSA or RA. Obviously, such departure from the accepted norms require a managed process to carry out such changes. Insite features a secure electronic authorisation system which allows Management of Change submissions to be reviewed and authorised by multiple senior managers onshore. Anywhere an authoriser has internet access, they can receive and approve a Management of Change. This ensures that prompt time-saving authorisation can be given by the right person, at the right time regardless of where they are.

Exposure and Experience

Logging of higher risk tasks (e.g. small boat, crane, or helicopter operations) allows exposure statistics to be viewed across the fleet. The frequency of each activity, along with the total exposure hours for a given week, can be readily accessed. By monitoring the tasks with potential for incidents, it becomes possible to refine operations through continuous improvement to make these tasks safer.

We can customise work processes of particular concern so that employee man hours can be tracked on a given type of work task. As an example, for small boat operations, we track individual coxswain and small boat crew member experience hours in a similar way to the way in which an airline pilot's flying hours are tracked. This data can then be utilised to ensure that sufficient levels of experience are deployed on a given crew.

Experience Transfers

It is often the case that we learn the most in the work-place from situations when something fails (be that equipment, processes or people). Whilst these types of event are obviously very unwelcome, if the lessons learned and the experience from such incidents or near misses are used to make the wider workforce aware of similar potential scenarios then we do, at least, take something positive from the unfortunate experience. Within Insite, these are called experience transfers (ETs). We have various types of these ETs and a robust mechanism to ensure that these events are treated with the importance they merit and also that the wider global workforce are made aware of events in order to minimise the likelihood of future reoccurrence throughout the organisation.

Sales

Insite's Sales module provides exceptionally powerful tools for managing all stages of the project bidding process, right from initial leads and tenders for new work all the way through to planning and managing awarded jobs.

Bid Manager

Insite brings a number of time-saving innovations to the process of bid modelling. Time and cost estimates based on area size are automatically calculated, but in addition have the option of being overridden with values from any dedicated modelling system if desired. Advanced revenue calculation features allow rates to be determined based on a desired target, whether that is total revenue, net profit, day rate, or profit percentage.

A flexible versioning system allows any number of potential bid models to be created, easily organised, and readily retrieved, for the same job and area. This means that the Sales department can comprehensively plan ahead for potential jobs, which is especially useful in the early stages of a bid when the details from the client are often not entirely clear.

For the later stages of a bid a particularly helpful feature of Insite is the ability to automatically generate a matrix of values for a diverse range of bid outputs based on alternative area sizes and line lengths. This allows not only for a client-requested matrix of rates to be generated, but also for internal understanding of what other factors will be affected by different polygon sizes.

Transit Manager

One of the most challenging aspects of bid modelling and planning is the expense allocation for local and global transits. Insite is capable of modelling transits for both time and cost and provides powerful mechanisms for allocating that transit cost to the acquisition projects associated with it. The advantage of this system is the superior knowledge it provides about the true cost of a programme of work, and these allocation numbers can be factored in to the rate solving functionality of Bid Manager.

Vessel Schedule

Insite's highly interactive Vessel Schedule is a rich source of information about internal planning and wider industry activity. It is deeply integrated with both Bid Manager and Transit Manager which means that it allows data to be viewed, created, and edited in very powerful ways.

The internal view assists in the planning of future work, allowing different scenarios to be examined with an easy drag-and-drop interface for altering potential programmes. Alternative scenarios can be viewed simultaneously, which is particularly helpful when analysing what the transit requirements are likely to be for each.

The industry overview gives a complete picture of market intelligence, with the past, present, and future work of every vessel that the Sales team track available at a glance. Each competitor's vessels are grouped by their current region so that their presence in each part of the world is brought into focus.

Analysis

The highly detailed data made available by the integrated design of Insite's Sales Module provides a rich source for data analysis.

ITTs received each year are grouped by the month they were received to show trends over time, and to highlight which months might be strong in the future. This data can be split by region to give further insight into how the market has operated in the past.

Internal backlog is shown in square kilometres as well as in U.S. Dollars, split by region as well as a company total. These figures use live data from the Operations module to show clearly how many squares are left for jobs which are currently ongoing, as well as the estimated revenue for those same partially completed jobs.

An even deeper integration with Operations is found in the Model vs Actual section of the Sales Module, which compares modelled performance with the actuals taken from Operations. The detailed breakdown as well as the graphs provided (including S-Curve projections) not only greatly assist in analysing how future bids and operations could be improved but also help plan ongoing jobs by helping better predict the end date and the differing time percentages.

Company Documents

Insite offers a platform for storing, distributing and managing your company-wide documents.

This includes but is not limited to :-

• Company procedures.
• Company Management System.
• Internal Policies (e.g. travel, D&A, etc.).
• Internal training documentation.
• Compliance documentation.
• Ad hoc documents (e.g. COVID-19 policy and guidance).

Admin users can easily set up and populate new document groups and there is no limit on the number of document groups that can be added.

As well as document storage, Insite offers the ability to easily request read-receipts on particular documents to ensure each employee has understood any new or changed documents. This is particularly useful when there has been changes to important policies or procedures that requires verification on being understood by your distributed workforce.

In storing the company documents alongside the HSEQ reporting system within Insite, you ensure that all your documents and reports are a mouse-click away from each other and in the same system so any cross-referencing is straightforward.

Crew Documents

The Crew Documents area offers a decentralised management of all employee type documents. This means that onshore based HR department members no longer have to manage all aspects of such employee documents. Whilst managed offshore by the employees themselves, the documents only become 'valid' once verified by HR onshore or designated offshore management

This caters for but is not limited to :-

• Passports and visa management.
• Health certificates.
• Inoculations.
• Ad hoc certification and compliance (e.g. offshore coxswain certificates, etc.).
• Allows overall central HR department monitoring of expiring documents and required follow-up.
